When Your Files Are Too Big for Email

Photos, videos and project folders can outgrow an inbox in a hurry. Once that happens, sending them becomes an annoying job of failed uploads, splitting or compressing files. There is a simpler approach: keep the conversation in email, then move the heavy files through a service built for the job.

Sending a few photos by email is easy until the folder suddenly weighs in at several gigabytes and the attachment box starts refusing to cooperate. High-resolution images can get large very quickly, and video is even worse, so something that should take two minutes can turn into compression or repeated upload attempts. At that point, the problem is no longer the file itself; it is the way you are trying to send it.

Everyday Files Are Bigger Than They Used to Be

A modern phone can produce files that would have looked enormous a few years ago. A single photo may be manageable, but take a few hundred on holiday or record several minutes of high-resolution video and the total soon climbs into gigabytes.

Creative work pushes things further. Photographers may need to send RAW files rather than finished JPEGs, and video editors can be dealing with exports that dwarf anything an ordinary inbox was designed to handle. Even outside creative work, presentation folders or batches of documents can grow surprisingly large once everything has been collected together.

The important point is simple: large files are no longer unusual specialist material. They are part of ordinary digital life.

Email Was Never Built for Heavy File Transfer

Email still works perfectly well when the attachment is a document or a handful of photos. The trouble starts when the attachment becomes the main event rather than something added to the message.

Large uploads can fail partway through, inbox limits can get in the way and splitting one delivery across several messages leaves both people keeping track of which files arrived where. That creates extra work before anyone has even opened the material.

There is also an awkward mismatch between the message and the file. The email itself might contain two lines of text, yet the attachment attached to it may weigh several gigabytes. Keeping the conversation in email while moving the heavy file separately is often a cleaner way to handle the job.

Sending the Original File Is Better Than Shrinking It to Fit

Compression is useful when smaller files are actually wanted, but it becomes an annoying extra step when the recipient needs the original material. A photographer sending work for editing, for example, gains nothing by reducing the quality simply to squeeze the files through an attachment limit.

Video creates the same problem because lowering resolution can make the transfer easier while leaving the recipient with the wrong version. Instead of changing the material to suit the delivery method, you can choose a delivery method capable of handling the material in its original form.

A Link Is Often Easier Than an Attachment

Separating the file from the email makes the process much simpler. The sender uploads the material and passes along access to it, leaving the message itself free to do what email does well: carry the conversation.

That is the job Filemail is built around, allowing large files or folders to be uploaded and delivered through email or a secure shareable link. Recipients do not need to register or install software before downloading the material.

The free service allows transfers of up to 5 GB, with a maximum of two transfers in a 24-hour period and files kept for up to seven days. Paid plans increase that ceiling considerably; the Pro plan supports transfers up to 250 GB, while Business accounts remove the file-size limit altogether.

The Recipient Experience Counts Too

Sending a large file successfully only solves half the problem because someone else still has to retrieve it. Requiring that person to create another account or install unfamiliar software can turn a straightforward handover into another round of messages explaining what to do next.

A direct download link removes much of that friction, particularly when the recipient simply needs the files and has no reason to join the service being used to deliver them. Tracking can also help when the transfer is important, because the sender can see whether the delivery actually reached the other end rather than waiting for an email asking where it went.

Windows, Mac and Linux applications can resume interrupted transfers, which becomes useful when the file is large enough that starting again would mean losing a considerable upload.

Use the Tool That Fits the Job

Email attachments are not going anywhere, nor do they need to. Sending a PDF or a couple of photographs through an inbox remains quick and convenient.

The trouble comes from asking the same system to carry several gigabytes simply because that is the habit everyone already knows. Once files become large enough to fight the attachment box, separating the message from the transfer makes more sense. The conversation can stay in email, and the heavy lifting can happen somewhere designed to handle it.
